Recurring invoices
Monthly billing that goes out on time without anyone remembering
Set up a schedule once with the customer, the line items, and how often to bill. Dispatch creates each invoice on the right day and sends it, or saves it as a draft for you to check first.
The monthly invoices only go out if someone remembers
A loader has been out on rental since October. A customer has a standing monthly service contract. Every month someone has to remember both, copy last month's invoice, and change the dates.
Miss one and it is money you never bill. Bill it late and it gets paid late.
How Dispatch handles it
-
Any billing cycle
Weekly, every two weeks, monthly, quarterly, or yearly. Pick the day of the month, a start date, and an end date if there is one.
-
Send it or check it first
Have each invoice sent to the customer automatically, or created as a draft so the office can review it before it goes.
-
Same lines every cycle
The schedule holds the line items and a note for each invoice, with an estimated total per cycle so you know what to expect.
-
Pause and resume
Equipment back early or a contract on hold? Pause the schedule and resume it when billing starts again.
-
Short months handled
Bill on the 31st and Dispatch uses the last day of the month when a month is shorter.
How it works
- 1
Create the schedule
Choose the customer, the frequency, the start date, and the line items.
- 2
Choose how it goes out
Send automatically, or create drafts for review.
- 3
Let it run
Each invoice is created on schedule and follows the same payment and reminder rules as the rest.
Fair questions.
Do recurring invoices get reminders too?
Yes. Once an invoice is sent, it is treated like any other invoice, so your overdue reminder schedule applies.
Can I stop a schedule when the rental comes back?
Yes. Pause it, give it an end date, or delete it.
What if I bill on the 30th and the month is February?
Dispatch uses the last day of that month instead.
Can I check each invoice before it goes out?
Yes. Set the schedule to create drafts, and nothing is sent until you send it.
