Dispatch & scheduling

One schedule board for every job and every crew

See the week by operator, drag a job to the right day, and assign it in a click. The operator gets a text with the job details. The office sees who is working now and what is waiting for review.

The schedule lives on a whiteboard and in one person's head

Monday starts with a whiteboard, a group text, and a dispatcher who remembers which truck is where. If that person is off sick, nobody is quite sure who is going to which site.

When a customer moves a job, the change goes on the board, maybe into a text, and hopefully to the operator. Two crews booked for the same morning is something you find out about at the gate.

How Dispatch handles it

  • Week and day views by operator

Each operator has a row. Jobs sit on the day and time they are booked, so gaps and overloaded days are obvious at a glance.

  • Drag to reschedule

Move a job to another day or another operator by dragging it. Dispatch warns you if the move overlaps something that operator already has booked.

  • Nothing falls off the board

Jobs with no date, no time, or no operator are listed on their own, so unbooked work does not get forgotten under a magnet.

  • The job goes out by text

Assign an operator and they get an SMS with the customer, the work, the time, a map link to the location, and a link to the full job.

  • A live view of the day

A strip across the top shows what is planned, who is working now, late starts, and finished jobs waiting for the office to review.

  • Find any job fast

Search the board by ticket number or customer, filter by status, and hide operators you do not need to see today.

How it works

  1. 1

    Create the job

Pick the customer, the type of work, the location, and the line items. Their rates fill in from your catalog.

  2. 2

    Put it on the board

Drag it to a day and an operator, or set the time on the job. Conflicts are flagged before you save.

  3. 3

    The operator gets a text

The SMS has the details and a link. They open it on their phone, start the work, and add photos and notes.

  4. 4

    Review and bill

Finished jobs show up for review. Approve them and they are ready to go on an invoice.

Fair questions.

Do my operators need to install anything?

No. The text they get has a link. It opens in the browser on their phone, and that is where they see the job, update status, and add photos.

What happens if I double-book an operator?

Dispatch checks for overlapping times on the same operator and the same day. It shows you the conflict and lets you cancel the move or schedule it anyway if that is what you meant.

Can I see who is working right now?

Yes. When operators start a job on their phone, the board shows them as working, and jobs that should have started but have not show as late starts.

What if a job does not have a date yet?

It stays on the board in its own list of jobs with no date or no operator, so you can book it when the customer confirms.

Can dispatchers see our rates?

Only if you let them. Owners and admins decide, per dispatcher, whether they can see rates, edit the catalog, override a rate, or void a ticket.
