Use case: monthly rental billing
Long rentals billed every month, without a calendar reminder
A machine out on a six-month rental should not depend on someone remembering to bill it. Set up a recurring invoice once and Dispatch creates it on schedule, sends it, and stops at the end date.
The rental nobody billed in March
Long rentals live in a spreadsheet or on a calendar. On the first of the month, someone opens the list and builds each invoice by hand. Miss a line and that month is gone, or it turns into a catch-up bill the customer is not happy about.
Then the rental ends, and nobody remembers to stop billing it either.
How Dispatch handles it
-
Set it up once
Choose the customer, the line items, how often it bills, and the day of the month it goes out.
-
Weekly to yearly
Bill weekly, every two weeks, monthly, quarterly or once a year.
-
Send it or review it first
Have each invoice emailed automatically, or created as a draft you check before sending.
-
Start and end dates
Set when billing starts and when it stops, so the last month is the last invoice.
-
Pause and resume
Machine back in the yard for a few weeks? Pause the schedule and pick it up again later.
-
Tax and terms included
Each invoice gets the right tax for the customer, tax-exempt clients included, and a due date from your payment terms.
How it works
- 1
Create the schedule
Pick the customer and add the rental line items.
- 2
Set the timing
Choose the frequency, the start date, the end date and the day of the month.
- 3
Dispatch makes the invoice
On each date, the invoice is created and sent, or saved as a draft.
- 4
Adjust as the rental changes
Pause, resume or delete the schedule when the job changes.
Fair questions.
Can I check the invoice before it goes out?
Yes. Set the schedule to create drafts instead of sending, and review each one before it goes to the customer.
What if the rental comes back early?
Pause or delete the schedule. Invoices that were already sent stay as they are.
Can a recurring invoice have more than one item?
Yes. Add as many line items as you need, such as the machine, an attachment and a monthly service charge.
Does it work for things other than rentals?
Yes. Anything you bill on a schedule, like a service contract, works the same way.
What about delivery and pickup?
Those are regular jobs on a ticket. Invoice them when they are done, alongside the recurring schedule.
