Quotes
Quotes your customers can accept from their inbox
Build the quote from your own rates, send it by email with a PDF, and let the customer accept or decline online. When they say yes, turn it into a job without typing it again.
Quotes go out, and then nobody knows where they are
A quote gets typed into a Word file, saved as a PDF, and emailed. The customer replies "looks good" three weeks later, and someone has to dig up which version they saw and what rate was on it.
Then the whole thing gets typed again to make the job, and again to make the invoice. Every retype is a chance for the wrong price to reach the customer.
How Dispatch handles it
-
Built from your rates
Pick items from your catalog and the price fills in. If the customer has their own rates, those are applied automatically. Custom lines are there for one-off work.
-
Accept or decline online
The customer gets an email with a link and a PDF. They can accept or decline on the page and leave a comment or question with their answer.
-
You hear about it right away
When a customer responds, Dispatch sends a notification and an email, so a yes does not sit unread until Friday.
-
Revisions without the mess
Change the price or scope and Dispatch saves a new version. Earlier versions stay on record, so you always know what the customer was shown.
-
Quotes expire on time
Set how long quotes stay open. An expired quote cannot be accepted until you revise it with a new date.
-
Accepted quote becomes the job
Convert an accepted quote to a ticket and the line items come with it. No retyping, no second chance to get the rate wrong.
How it works
- 1
Build the quote
Choose the customer and add items from your catalog or custom lines. Taxes and customer rates are handled for you.
- 2
Send it
Dispatch emails the customer a branded PDF and a link to accept or decline online.
- 3
Get the answer
You are notified when they respond. If they want changes, revise it and send the new version.
- 4
Turn it into work
Convert the accepted quote into a job and put it on the schedule board.
Fair questions.
Does my customer need an account to accept a quote?
No. They open the link in the email, review the quote, and accept or decline. They can also download the PDF from the same page.
Will the quote have my logo on it?
Yes. Quote PDFs use your company name, logo, and colours from your settings.
What if the customer wants a change after I send it?
Revise the quote and send it again. Dispatch keeps each version, so you can see what changed and what the customer saw each time.
Can I give a customer their own pricing?
Yes. Set customer-specific rates on the client record and they are applied automatically whenever you quote that customer.
Can a web inquiry become a quote?
Yes. With web forms turned on, a request from your website lands in your inquiries inbox and you can turn it into a quote from there.
