Payments & reminders

Get paid by card, and stop making the reminder calls

Every invoice email has a pay button. Customers pay by card through Stripe, and the invoice updates itself. If they do not, Dispatch sends reminders on the schedule you set.

Getting paid is a second job

The invoice goes out, then nothing. Thirty days later someone checks a spreadsheet, finds it unpaid, and makes an awkward phone call. Multiply that by every customer who pays late.

When a cheque does come in, someone has to match it to the right invoice and mark it paid by hand, and hope nobody else already did.

How Dispatch handles it

  • Pay by card from the invoice

Connect Stripe and every invoice gets a pay button in the email and on the invoice page. The money goes to your Stripe account.

  • Partial payments handled

If a customer pays part of the balance, the invoice shows it as partially paid with the right amount still owing.

  • Record the rest in seconds

Cheque, e-transfer, bank transfer, cash, or a card run on your own terminal. Record it on the invoice and the customer gets a confirmation email.

  • Reminders on your schedule

Choose how many days after the due date each reminder goes out. Each one shows the amount due, days past due, and a button to pay.

  • Reminders stop when it is paid

Reminders only go to invoices that are still open. Once the balance is paid, the follow-ups stop on their own.

  • Limits you control

Turn off card payments above an amount you choose. Owners can also add a card surcharge, off by default, within Canadian card rules.

How it works

  1. 1

    Connect Stripe

The owner connects a Stripe account from settings. Card payments are then available on your invoices.

  2. 2

    Set your reminder schedule

Pick the days after the due date for reminders and write the message, or use ours.

  3. 3

    Send invoices as usual

Each invoice email includes the pay button. Card payments mark the invoice paid automatically.

Fair questions.

Who processes the card payments?

Stripe. You connect your own Stripe account and payments are deposited there. Dispatch never stores card numbers.

Do I have to take cards?

No. You can record cheques, e-transfers, bank transfers, and cash against any invoice, and leave Stripe off entirely.

Can I change what the reminder email says?

Yes. Write your own reminder message in settings, and preview it before you save.

What happens if a customer pays part of an invoice?

The payment is recorded, the invoice moves to partially paid, and the remaining balance is what shows on the next reminder.

Can I refund a payment?

Yes. Refunds are recorded on the invoice so the balance and payment history stay correct.
