Inquiries
Every website request in one inbox, ready to quote
Add a Dispatch form to your website, or link to one we host. Each request lands in your inquiries inbox with the contact details and job details already sorted, and becomes a quote or a job in a few clicks.
Leads come in everywhere and get answered nowhere
A request comes through the website and lands in someone's personal email. Another comes in as a voicemail. A third is a text to the owner's cell. Nobody knows which ones got a call back.
The ones that do get answered get typed out again: name, phone, address, what they need. By then the customer may have called someone else.
How Dispatch handles it
-
A form for your website
Paste a short piece of code into your site, or link to a hosted form page. Name, contact, address, job location, preferred date, and a message.
-
One inbox for every request
Inquiries arrive with a status: new, contacted, converted, closed. You can see at a glance which ones still need a call.
-
Your team is told right away
When a real inquiry arrives, the office gets a notification instead of waiting for someone to check email.
-
Matched to the right customer
Dispatch looks for an existing customer with the same email or phone. Link it to them, or create a new customer from the request.
-
Quote or job in one step
Turn the inquiry into a quote or a ticket. The details carry over, so nobody types the address twice.
-
Spam kept out of the way
Bot submissions are caught and marked as spam, so they do not clutter the inbox or trigger notifications.
How it works
- 1
Create a form
Set up the form in Dispatch and choose whether it lives on your own site or on a page we host.
- 2
Put it on your site
Paste the code into your website or share the link to the hosted form.
- 3
Work the inbox
New requests show up in Inquiries. Call them back and mark them contacted.
- 4
Convert it
Turn the inquiry into a quote or a job, linked to a new or existing customer.
Fair questions.
Do I need a web developer to add the form?
Usually not. It is a short piece of code you paste into your site, or you can skip that and link to a form page we host for you.
What happens if the person is already a customer?
Dispatch checks their email and phone against your customers and their contacts. If it finds a match, you can link the inquiry to that customer instead of making a duplicate.
Can an inquiry go straight to the schedule?
Yes. Convert it into a ticket instead of a quote, and it is ready to put on the schedule board.
What about spam?
The form includes a hidden trap field for bots. Submissions that look like spam are marked as spam and do not notify your team.
Is this included for everyone?
Web forms are a module we turn on for your account. Ask about it on your demo call.
