Use case: same-day invoicing
Send the invoice the day the job closes
Every day an invoice waits is a day you wait to get paid. Dispatch builds the invoice from the finished ticket, with the hours, rates and tax already on it. Review it, send it, and the customer can pay by card from the email.
Month end is when the guessing starts
Tickets pile up all month. At the end, someone sits down with a stack of paper, a rate sheet and a calculator, and builds invoices one at a time. Hours get rounded. Extras get forgotten. A job from three weeks ago gets billed at last year's rate.
The work was done weeks ago. The money shows up weeks later.
How Dispatch handles it
-
Built from the ticket
Pick one or more completed tickets for a customer and Dispatch creates the invoice with their line items. Add one-off charges if you need to.
-
Job details carry over
Fields like location, cost code, AFE, ordered by and the work summary show up on the invoice when they are filled in on the ticket.
-
Tax already done
GST and PST are applied for the province where the job was done, and tax-exempt customers are handled for you.
-
Sent with a PDF
The invoice goes out by email with a PDF in your branding and a link to view it online.
-
Paid by card
Customers pay by card from the invoice link through Stripe. Cheques and e-transfers are recorded by hand, partial payments included.
-
Numbered in order
Invoice numbers run in sequence with your own prefix, with no gaps.
How it works
- 1
Crew finishes the job
The operator marks the ticket complete from their phone.
- 2
Office reviews
Check the hours and charges, then approve the ticket.
- 3
Create the invoice
Pick the completed tickets and Dispatch builds the invoice, tax included.
- 4
Send and get paid
Email it with the PDF. The customer can pay by card from the link.
Fair questions.
Can I put several jobs on one invoice?
Yes. Select completed tickets for the same customer and they go on one invoice. Jobs in different provinces go on separate invoices, since the tax is different.
Do customers need an account to pay?
No. They open the link in the email and pay by card. Nothing to sign up for.
Can I void an invoice?
Yes. Voiding asks for a reason, puts the tickets back to completed so you can bill them again, and keeps a record of who did it.
Can I turn off card payments on large invoices?
Yes. Set an amount above which card payment is switched off, so large invoices are paid another way.
Does this replace my accounting software?
No. Dispatch handles the job up to the invoice and payment. Invoices export to QuickBooks Desktop today, with QuickBooks Online and Xero coming soon.
