Field tickets your customer's coding team will actually accept
Dispatch puts the location, AFE, cost code and ordered-by on every field ticket, gets it signed on site, and builds the invoice from it. The paper ticket in the glovebox stops being the only record of the job.
No AFE, no payment.
The crew is two hours north on a lease. The ticket is handwritten, the LSD is half legible, and the company man signed it in the truck. By the time it reaches the office, someone has to guess the cost code and type it all into an invoice.
Then the operator's payables team rejects it because the AFE is missing or the coding is wrong. The work was done weeks ago, and now it waits another cycle to get paid.
How Dispatch handles it
-
The coding on every ticket
Location, AFE number, cost code and ordered by are fields on the ticket, and they appear on the invoice. Add your own fields for whatever else a customer insists on.
-
Legal land locations understood
Type a legal land description like 14-36-85-17 W6 in the location and Dispatch recognises it. The crew's map link points to the approximate spot.
-
Signed on site
Require a signature on a job and the customer's rep signs on the crew's phone. The signature and their name stay with the ticket.
-
Rates from the MSA
Each operator's agreed rates go on their client record. Hot oiler, pressure truck, vac truck or labour, the ticket bills what the contract says.
-
Field costs with receipts
Crews log fuel, disposal and material costs from the field with a photo of the receipt. The office approves them before they go anywhere.
-
Tax done right
GST and PST apply by the province where the work happened, and tax-exempt customers keep their exemption number on file.
How it works
- 1
Take the call
Enter the operator, the LSD, the AFE and who ordered the work. Their rates fill in.
- 2
Send the crew
The crew gets a text with the ticket link and a map to the location.
- 3
Work and sign
The crew runs the timer, takes photos, logs costs and gets the field ticket signed.
- 4
Invoice with the coding
The office reviews the ticket and sends an invoice that already carries the AFE and cost code.
Fair questions.
Can Dispatch submit invoices into our customers' e-invoicing portals?
Not directly today. Dispatch produces the invoice PDF with the AFE, cost code and field ticket references already on it, so uploading it is a quick job instead of a retyping job.
Each operator wants different fields on the ticket. Can we handle that?
Yes. The standard fields cover location, AFE, cost code and ordered by. You can add your own custom fields to tickets and choose which ones show on the invoice.
What if the crew has no signal on the lease?
Dispatch needs a connection to save updates, so on a lease with no signal the crew finishes the ticket once they are back in range. That is still days sooner than a paper ticket reaching the shop.
Where is our data stored?
In Canada. Each company's data is kept separate from every other company's, and every change to tickets, rates and invoices is recorded in an audit trail.
Does it work for small outfits?
That is who it is built for: one office, a handful of trucks, no IT department. Most companies are dispatching real jobs within a day or two.
