Use case: client-specific pricing
The right rate for every customer, every time
Your biggest customer gets a better hourly rate. Another pays a different price at each site. Dispatch keeps those rates on the customer and fills them in for you, so nobody has to remember which spreadsheet tab is current.
Which rate did we agree to?
The agreed rates live in an email from last spring, a tab in a spreadsheet, and the owner's head. A new dispatcher uses the standard rate. The customer catches it, and now you are issuing a credit and an apology.
Or they don't catch it, and you have undercharged them for a year.
How Dispatch handles it
-
Rates on the customer
Set a customer's own rate for any item in your catalog. It replaces the standard rate whenever you bill that customer.
-
Different rates by site
Set rates by location for customers who pay differently at different sites.
-
Fills in on its own
Tickets and quotes pick up the customer's rate automatically, and the invoice carries it through.
-
Approval for price changes
Turn on approval and a dispatcher's rate change waits for an owner or admin to approve it.
-
Control who sees rates
Choose which dispatchers can see rates, edit the catalog, or override a price.
-
Every change on record
Rate changes go in the audit trail with who made them and when, and an owner can sign off on them.
How it works
- 1
Build your catalog
List your services, equipment and materials with their standard rates.
- 2
Add customer rates
On each customer, set the rates you agreed to.
- 3
Work as usual
Tickets and quotes for that customer use their rates without anyone looking them up.
- 4
Review changes
Approve dispatcher price changes and see every change in the audit trail.
Fair questions.
What happens to old invoices if I change a rate?
Nothing. Invoices keep the price they were created with. New work picks up the new rate.
Can a dispatcher change a price on a job?
Only if you allow it. You can also require an owner or admin to approve each change before it sticks.
Can I set customer rates for equipment as well as labour?
Yes. Any item in your catalog can have a customer rate, whether it is labour, equipment or material.
Can I keep rates hidden from some staff?
Yes. Seeing rates is a permission you turn on or off for each dispatcher.
Do quotes use the customer's rates too?
Yes. Customer rates apply on quotes as well as tickets, so the price you quote is the price you bill.
