Trucking & hauling

Every load ticket on the invoice, without retyping it

Dispatch gives a small trucking company one place for the day's jobs, the trucks on them, and the tickets that come back. Drivers get the job by text and close it from their phone. The office builds the invoice from what was recorded, at the rate that customer actually pays.

The truck is back. The ticket is somewhere.

The hours are on a carbon copy in the cab. The tandem and tridem rates are in a spreadsheet. The customer wants their AFE or cost code on every line. At month end someone sits down with a stack of tickets and a calculator and rebuilds the month, one load at a time.

A lost ticket is a load you hauled for free. A wrong rate is a phone call from the customer and a credit note. Neither shows up until the invoice is already late.

How Dispatch handles it

  • Truck rates in one catalog

Set tandem, tridem and trailer rates by the hour or by the tonne. Give any customer their negotiated rate once, and it fills in on every ticket for them after that.

  • Jobs go out by text

Assign a driver and they get the job by SMS with a link to the ticket. Nothing to install. They start the timer, add notes and photos, and mark the job done.

  • Hours as worked, not rounded

Quantities take decimals, so 7.5 hours or 18.25 tonnes goes on the ticket exactly. The driver's timer records start, pauses and finish.

  • The customer's references, kept

Location, ordered by, AFE number and cost code live on the ticket and carry onto the invoice, so the customer's payables team stops sending it back.

  • One invoice for a month of loads

Pick a customer's completed tickets and build one invoice from all of them. GST and PST are applied by province, and the PDF goes out by email with a card payment link.

How it works

  1. 1

    Book the job

Enter the customer, the location and the work. Their rates fill in from the catalog.

  2. 2

    Send it to a driver

Assign the driver and add the truck. They get a text with a link to the ticket.

  3. 3

    Close it on the road

The driver runs the timer, snaps a photo of the scale slip, gets a signature if the customer needs one, and marks it complete.

  4. 4

    Bill it

The office approves the ticket and invoices it the same day, or rolls the month's tickets into one invoice.

Fair questions.

Can we bill some customers by the hour and others by the tonne?

Yes. Each item in your catalog has its own billing unit and default rate, and any customer can have their own rate on any item. The ticket picks up the right one.

Our drivers are not computer people. Will they use it?

They get a text with a link. It opens on their phone with the job, the location and a big button for the next step. Nothing to install, no password to remember every week.

Does Dispatch do ELD or hours-of-service logs?

No. Dispatch handles the job, the ticket and the invoice. Keep your ELD for compliance. Dispatch is where the work gets recorded and billed.

Can we add a fuel surcharge?

Yes. A fuel surcharge can go on a job as its own line, so the customer sees it clearly on the invoice.
