Hydrovac & vacuum trucks

Hourly hydrovac jobs billed without retyping a ticket

Hydrovac work is billed by the hour, and every quarter hour counts. Dispatch records the time on the job and the cleanup time from the operator's phone, keeps disposal costs and photos on the ticket, and turns it into an invoice the customer can pay by card.

Hours on the dash, dump fees in the cupholder.

The operator writes start and finish on a ticket, maybe the washout time, maybe not. The disposal receipt is somewhere in the truck. The customer wants the locate number and the cost code on the bill.

Every missing quarter hour and every lost dump receipt is money the company already spent and never gets back.

How Dispatch handles it

  • Work time and cleanup time

The operator's timer records time on the job and cleanup time separately, with pauses. The office sees exactly how the hours on the ticket were built.

  • Cleanup checklists

Attach a cleanup checklist to a service, and the operator ticks it off on their phone. Required items have to be checked before the job can be marked complete.

  • Disposal and fuel with receipts

Operators log disposal, fuel and material costs from the field with a photo of the receipt. The office approves them and nothing gets lost in the truck.

  • Photos of the dig

Photos of exposed lines and the site go on the ticket from the operator's phone. Proof of the work, kept with the invoice.

  • Billed versus worked

A report compares the hours worked with the hours billed, so you can see where time is slipping through before it adds up.

How it works

  1. 1

    Book the job

Enter the customer, location and references like the locate number. Rates fill in from the catalog.

  2. 2

    Text the operator

They get the job by SMS and open the ticket from the link.

  3. 3

    Dig, clean up, close

The operator runs the timer, takes photos, logs the dump fee and ticks off the cleanup checklist.

  4. 4

    Invoice from the ticket

The office approves the hours and sends the invoice with tax already applied.

Fair questions.

Can we keep the locate or ground disturbance number on the ticket?

Yes. Add it as a custom field on your tickets and choose whether it shows on the invoice. Dispatch does not manage locate requests themselves.

Can we bill hydrovac by the hour and disposal as a separate line?

Yes. Each service has its own rate and unit. Hours take decimals, and disposal can be a line item or an expense logged from the field.

What if the operator forgets to stop the timer?

The office can adjust the time before approving the ticket, and the change is recorded in the audit trail.

Do we need to buy phones for our operators?

No. Their own phone works. The job comes as a text with a link, and there is nothing to install.
