Invoicing
Invoices built from the job, not retyped from a notebook
Pick the finished tickets and Dispatch builds the invoice: line items, rates, tax, and the job details your customer asks for. Send it by email with a PDF and a link to pay online.
Month end is a week of retyping
The hours are on a paper ticket, the rate is in a spreadsheet, and the AFE number is in an email from the customer. Someone sits down at month end and puts it all together, one invoice at a time.
Every invoice that waits for month end is money that waits too. Every one that is typed by hand is a chance to bill the wrong rate or forget a line.
How Dispatch handles it
-
Invoice straight from tickets
Choose one or more completed tickets for a customer and Dispatch builds the invoice from them. Ad-hoc lines can be added for anything else.
-
Tax done for you
GST and PST are applied by province, and tax-exempt customers keep their exemption number on file. Tax is checked again when the invoice is created.
-
The details your customer needs
Location, cost code, AFE, ordered by, and the work summary from the ticket carry onto the invoice. The field signature prints on the PDF.
-
Numbered, branded, and sent
Invoices are numbered in order with no gaps, using your prefix. The PDF has your logo and goes out by email with a link to view and pay.
-
Your books stay where they are
Export invoices to QuickBooks Desktop as an IIF file, or download a CSV. QuickBooks Online and Xero are coming soon.
-
Corrections leave a trail
Voiding an invoice needs a reason, rolls the tickets back so they can be billed again, and is recorded in the audit log.
How it works
- 1
The crew finishes the job
Hours, line items, photos, and notes are already on the ticket from the field.
- 2
The office reviews it
Approve the completed ticket. It is now ready to bill.
- 3
Build the invoice
Pick the tickets, check the totals, add any extra lines, and create the invoice.
- 4
Send and get paid
Email the PDF with a pay link. Payments and reminders take it from there.
Fair questions.
Can one invoice cover several jobs?
Yes. Select multiple completed tickets for the same customer and they go on one invoice.
Do I have to give up my accounting software?
No. Dispatch is not accounting software. It handles everything up to the invoice and payment, then exports clean invoice data to QuickBooks Desktop. QuickBooks Online and Xero are coming soon.
How does tax work across provinces?
Dispatch applies GST and PST by province from rates we keep up to date. Customers marked tax-exempt are not charged, and their exemption number is kept on file.
Can my customer pay the invoice online?
Yes, once you connect Stripe. The invoice email and the invoice page both have a pay button for card payments.
What if an invoice goes out wrong?
Void it with a reason. The tickets go back to being billable, you invoice them again, and the change is recorded.
