Use case: overdue invoices

Overdue invoices that follow up on their own

Nobody likes making the call about a late invoice, so it often doesn't get made. Dispatch sends reminders on a schedule you set, with a link to the invoice, and stops as soon as it is paid.

Collections happen when someone remembers

Someone in the office keeps a list of who owes what. Every couple of weeks they work through it, sending emails and making calls. In a busy week, it doesn't happen.

Meanwhile the slowest payer gets paid last, and you carry their bill on your line of credit.

How Dispatch handles it

  • Reminders on your schedule

Pick the days after the due date when a reminder goes out, for example 7, 14 and 30. Leave the list empty and reminders are off.

  • Stops when it is paid

Reminders only go to invoices that are still open or partly paid. Once the balance is paid, they stop.

  • A link to the invoice

Each reminder shows the amount due and links to the invoice online, where the customer can pay by card.

  • Your wording

Add your own note to the reminder email and preview it before you save.

  • Sent to the right people

Reminders go to the same contacts the invoice was emailed to.

  • See who owes what

The dashboard shows what you have received, the outstanding balance and overdue invoices.

How it works

  1. 1

    Set terms once

Set your payment terms in days, and every invoice gets a due date.

  2. 2

    Choose reminder days

Pick how many days after the due date each reminder goes out.

  3. 3

    Dispatch sends them

Overdue invoices get a reminder email on those days, with a link to the invoice.

  4. 4

    Payment closes it out

Card payments mark the invoice paid automatically. Record cheques by hand. Either way, reminders stop.

Fair questions.

Will reminders bother customers who pay on time?

No. Reminders only go out after the due date, on the days you pick. Customers who pay on time never see one.

Can I change what the reminder says?

Yes. Add your own note below the amount due. You can preview the email with sample details before saving.

What if the customer pays by cheque?

Record the payment in Dispatch. The invoice is marked paid or partly paid, and reminders stop once it is fully paid.

Can I turn reminders off?

Yes. Remove every reminder day and automatic reminders are off.

Is there a record of what was sent?

Yes. Dispatch logs each reminder it sends against the invoice.
