Use case: paper job tickets

Paper job tickets, gone for good

A carbon-copy ticket in a glovebox is not a system. In Dispatch, every job is a ticket the office creates once and the crew finishes from their phone. The work log, photos and signature are back in the office the same day.

The ticket is in a truck two hours north

The job is done, but the ticket is still in the truck. When it finally lands on the office desk it is folded, smudged, and the hours are hard to read. Someone calls the operator to check, waits for a call back, and types it all into a spreadsheet.

Some tickets never come back at all. Those are jobs you did and never billed.

How Dispatch handles it

  • One ticket per job

Customer, location, work summary, line items and the assigned operator live on one record. Every ticket has its own number, so nothing gets lost or billed twice.

  • Crews finish it on their phone

Operators open a link, start the job, pause it if they need to, and mark it done with a short work log. Nothing to install.

  • Photos and a signature on site

The crew adds photos from the phone and captures the customer's signature on screen. Turn signatures on for the clients who require them.

  • The office checks it first

Finished tickets come back to the office for review. Approve it, correct it, or send it back to the operator with a reason.

  • Invoice straight from the ticket

Approved tickets turn into an invoice with the line items already on it. Nobody retypes the hours.

How it works

  1. 1

    Create the ticket

The office enters the customer, the work and the crew once. The operator gets the job by text.

  2. 2

    Work the job

The operator opens the ticket on their phone, starts the job, and adds photos and notes as they go.

  3. 3

    Close it on site

They mark it complete with a work log and, when the client requires it, a signature.

  4. 4

    Review and bill

The office reviews the ticket and turns it into an invoice the same day.

Fair questions.

Do my operators need to install anything?

No. They get a link by text and open it in their phone's browser. Nothing to install and nothing to update.

What if a customer wants a signed ticket?

Turn on field signatures for that client. The operator collects the signature on the phone before the job can be marked complete, and it prints on the ticket PDF with the signer's name and the time.

Can I still print a ticket?

Yes. Every ticket has a PDF with the job details, line items and signature.

Can the office fix a mistake on a ticket?

Yes. The office reviews every finished ticket before it is invoiced, and can correct it or send it back to the operator. Changes are recorded in the audit trail.

What happens to the paper tickets we already have?

Keep them filed for your records. New jobs go into Dispatch from day one, and we set up your services, rates and customers with you.
